What is proof of delivery (POD) and how do I avoid cargo disputes?
Proof of delivery, or POD, is the document signed at destination confirming that the goods arrived and in what condition. Without a POD you do not get paid and you cannot defend yourself in a dispute. Below you see what it must contain.
Short answer
- The POD is the signed and stamped copy of the consignment note returned to the carrier after unloading.
- It must contain the delivery date and time, the name of the signatory and any reservations about the condition of the goods.
- Reservations are recorded on the spot, at unloading; a reservation added later has weak evidential value.
- Photos with date, time and GPS position complete the POD and settle most disputes.
- Many transport contracts tie the payment term to receiving the POD, so a late POD means late payment.
What the law and practice say (in brief)
- The CMR Convention provides that the consignment note is drawn up in three originals, one remaining with the carrier.
- The absence of reservations at delivery creates the presumption that the goods were received in good condition.
- For visible damage the claim is made at delivery; for hidden damage, within the short deadline in the convention.
- The e-CMR protocol allows electronic signatures, so the POD can be fully digital.
- The POD is the supporting document that accompanies the transport invoice in the relationship with the freight forwarder.
Practical example
Example: at unloading in Germany, the warehouse signs the consignment note noting that one pallet is damaged. The driver photographs the pallet, and the photo carries the 14:12 timestamp and the warehouse coordinates. Three weeks later the customer claims two damaged pallets. The photos and the written reservation limit compensation to a single pallet.
Common mistakes
- Accepting a signature with no printed name and no stamp, so you cannot prove who received the goods.
- Leaving the POD in the cab for weeks, so the invoice reaches the customer late.
- Photographing the goods without date, time and place, so the image proves nothing.
- Not recording reservations at unloading, even when the packaging is visibly damaged.
- Sending the scanned POD by messaging app without archiving it on the trip.
How 4transports helps
- 4transports does not collect proof of delivery: it has no driver app, electronic signature or photos.
- You mark the trip as delivered, with the delivery date, and its CMR stays recorded in the register.
- The list of delivered but not yet invoiced trips shows what to invoice through 4invoices.
