What is a transport management system (TMS)?
A transport management system (TMS) is the platform a transport company uses to plan trips, follow their status, manage vehicles and documents and measure costs. Below you see what it does, which modules it contains and who it fits.
Short answer
- TMS = software that coordinates the planning, execution and reporting of transport operations.
- It plans trips: origin, destination, date, assigned driver and vehicle.
- It follows the status of every trip; some TMSs add GPS tracking, 4transports does not.
- It manages vehicles, drivers, documents (technical inspection, insurance, tachograph) and maintenance.
- It keeps a record of CMR documents and reports revenue and on-time deliveries.
Which modules a TMS contains
The main modules of a transport management system
| Module | What it does |
|---|---|
| Trip planning | Origin, destination, cargo, date, driver and vehicle assignment |
| Trip status | Planned → in transit → delivered → invoiced (GPS, where used, comes from a telematics provider) |
| Fleet management | Vehicles, drivers, deadlines (inspection, insurance, licence, certificate), maintenance |
| CMR documents | The register of CMR consignment notes linked to trips |
| Reports | Monthly revenue, on-time deliveries, number of trips, vehicles and drivers |
Context: which rules it touches
- Driving and rest times follow Regulation (EC) 561/2006 and the AETR agreement.
- Tachograph data must be downloaded and archived periodically.
- International freight transport uses the CMR consignment note (the CMR Convention).
- Cabotage and the transport licence (with a certified copy on the vehicle) have their own EU-market rules.
Practical example
Example: a freight forwarder with 12 trucks uses the TMS to plan trips in the morning, assign the driver and truck, and move each trip from “planned” to “in transit” and “delivered”. At month end, the report shows the month's revenue against the previous month and the on-time delivery rate.
Common mistakes
- Confusing a TMS with a simple GPS tracking app — a TMS covers the whole trip cycle.
- Keeping fleet documents (inspection, insurance, tachograph) in Excel, with no expiry alerts.
- Not measuring cost per trip, so you don't know which customers or routes lose money.
How 4transports helps
- A single TMS for trips, fleet, drivers, customers and the CMR register (no GPS and no electronic e-CMR).
- Expiry dates for inspection, insurance, licence and certificate, plus maintenance deadlines, in plain view.
- A monthly revenue and on-time delivery report, with trips invoiced through 4invoices.
